In addition to a spreadsheet upload, HubSpot users can now import a Contact List directly into a PowerList via CRM integration.
Overview
- If this is your first time using CRM lists: in the PowerCall settings menu -> CRM, re-connect your Kixie PowerCall to HubSpot
- In Account Settings -> CRM Properties (Kixie dashboard), click "Get CRM Properties" and make sure all the HubSpot properties you intend to import in your CRM lists are selected and saved.
- After taking these 2 steps, you can create a PowerList -> select HubSpot -> select a HubSpot list -> map the properties in the visual mapper, and save the PowerList.
For more detailed step-by-step instructions, read the sections below.
Please note: all HubSpot lists (active or static) will be imported statically to the PowerList, so if you want to "sync" the HubSpot list going forward with your PowerList, you'll need to create twin contact-based HubSpot workflows triggered by the contact being added to and removed from the HubSpot List respectively, whose workflow actions are to "Add Contact to PowerList" and "Remove Contact from PowerList" respectively.
Required Setup
Before you can create a CRM PowerList, it is required to connect your HubSpot CRM as detailed below. This only needs to be performed the first time you create a CRM PowerList.
IMPORTANT: These steps must be performed by an Admin or Manager on your Kixie account. Most of these steps are not accessible to a regular agent user.
Establish HubSpot Permissions
First, you'll need to allow permissions so that your users can create CRM PowerLists.
- Log in to HubSpot as any user with Super Admin permissions.
- Click on Settings (gear icon) in the top-right corner.
- Under the Settings sidebar, select Users & Teams.
- Select the Permission Sets tab.
- Select the relevant Permission Set(s) from the list. Then click Edit.
• These Permission Sets are the groups that should contain your HubSpot users who are also integrated on Kixie, and would be able to create CRM PowerLists.
- Under 'Choose permissions,' select Account → Settings access.
- Find the option called App Marketplace access. Turn this ON.
Import CRM Properties
Next, you'll need to import your custom properties from HubSpot.
- In your Kixie Dashboard, go to Manage → Account Settings.
- Click on Edit All (the pencil icon in the top right).
- Select the CRM Properties tab.
- On the dropdown menu titled 'CRM,' select HubSpot.
- Click on 'Get CRM Properties.'
- Next, click on the checkboxes to select the CRM Properties you want to import.
• You can Select All by clicking on the checkbox in the top-left corner of the table.
• You can use the Search bar to find specific properties, and you can click on the table headers to sort them alphabetically. - Click on the 'Phone' checkbox for any properties that are a phone number.
• For example, a property called "Office Phone" or "Alt Number" should probably be tagged using the 'Phone' checkbox. - Finally, click Save.
Create a CRM PowerList
- In your Kixie Dashboard, go to Manage → PowerLists.
- Click on '+ New PowerList'.
- Select the Contacts tab.
- Click on the dropdown menu titled Data Source. Select HubSpot.
- Select the desired CRM List.
- Once the list is selected, this window will advance to the Mapping Tool. Check that the properties from your CRM List are mapping accurately to the properties in the PowerList. You must map properties in order to save your PowerList.
- You may use the Custom fields to map custom CRM properties. See the screenshot below for examples.
- Click Complete to save your mapping.
- Finish Setting up your PowerList as usual. Click Save when finished.
Cannot select your HubSpot CRM lists?
This Kixie feature is only able to import Contact-based CRM lists and not other types, such as Company-based CRM lists.
If you do not see your valid, Contact-based, HubSpot CRM lists in the dropdown menu, please open Kixie PowerCall and Reconnect your CRM. Then refresh the PowerList page in your browser. You should now be able to access your HubSpot CRM Lists.
