🔑 Access & Visibility
Your access inside AI Insights depends on your Kixie role.
| Role | What You Can Do | What You See |
| Admin | Full access — can create, edit, and manage documents, reports, and workbooks. | All user data across the business. |
| Manager | Can view all documents and reports. Cannot create new documents. | All user data across the business. |
| User | View only. Can access documents shared with them but cannot create or edit them. | Only their own data — automatically filtered to their user ID. |
Row Level Security ensures users only see their own data, even when shared Documents (Dashboards) are viewed. Sensitive fields (like call recordings) respect Kixie permissions. If "Show Call Recordings" is off, those fields remain hidden.
📂 Documents, Sharing, and Permissions
Inside the Hub, dashboards are stored as documents (dashboards) that can be shared across your organization.

Admins can share documents with:
The entire organization (these appear in the Hub for everyone), or
Specific managers or users directly (these appear in Shared with me for the recipient).

When sharing, Admins can assign:
Viewer — can view only.
Editor — can edit the shared document.
Manager — can extend sharing permissions to others.
Managers can extend permissions further, sharing documents they’ve been given access to with other users.
This creates a flexible, permission-controlled sharing environment where collaboration is encouraged but data boundaries remain protected.
🏁 Getting Started
When you log in to Kixie, you’ll see the AI Insights tab above "Reporting."
Navigation
Click the ☰ Menu in the top-left corner.
Use the sidebar to navigate between the following sections:
Structure Overview

| Favorites | Pin your go-to documents (dashboards) here for quick access. |
| My Documents | Your personal workspace. Any dashboards you create or clone appear here by default. Only you can see this area unless you share something from it. |
Activity |
Tracks your recent actions and document interactions within Analytics. |
| Hub | Documents shared with your organization. We’ve included some to get you started — these are not editable. Inside the Hub, you’ll also find the Business Dashboards folder — a shared space customers can use to publish dashboards company-wide. |
| Shared with me | Documents and content shared directly with you by another user or admin. |
| All | A combined view of all documents (dashboards) you have access to — personal, shared, and organizational. |
| Trash | Deleted documents are stored temporarily before permanent deletion. |

Kai (AI Assistant) |
Your built-in AI helper for querying, summarizing, and exploring your analytics data interactively. |
Key Terms
Document (or Dashboard) — A collection of reports such as charts, tables, and metrics.
Workbook — A handy, Google Sheets–like way of editing the various reports on a given document. It lets you explore and adjust multiple reports within a single view.
Report — A visualization or table that exists within a document — reports don’t exist independently outside it.
Kai — AI Assistant
Meet Kai (Kixie-AI), your new AI analytics assistant built right into Kixie. Kai lets you explore, visualize, and understand your data instantly — no setup, no SQL, no BI expertise required.
With Kai, anyone can create meaningful reports or ask questions in plain English and get live, interactive insights.
Ask Kai things like:
“Show me call volumes by month.”
“Who are the top-performing agents this week?”
“What’s our average connection rate during peak hours?”
Kai turns your questions into charts, tables, and summaries, helping you make confident, data-driven decisions in seconds.
Every field in Kixie’s Calls and Messages datasets is AI-annotated, allowing Kai full understanding of your data model. That means your plain-English questions become accurate, context-aware reports automatically.
Enhanced Dashboards
To showcase what’s possible with AI Insights, we’ve re-created and enhanced your most-used dashboards. They're uneditable - but feel free to clone them and add your personal flair!
Click "Explore" then "+ Dashboard" to Clone the Document (Dashboard).
Call History Dashboard — See the full story behind every call: volumes, response times, missed vs. answered trends, and top performers.
SMS History Dashboard — Track engagement, delivery rates, and messaging performance in one place.
Connection Summary Dashboard — Pinpoint when and why calls connect best to improve strategy and performance.
These dashboards are your new defaults — fast, visual, and built to evolve with your business.
Explore vs Edit
Explore is your safe sandbox mode: it opens a cloned version of the current dashboard, allowing you to freely experiment, tweak, and explore without affecting the original shared version.
When you click Explore, this creates a temporary copy you can modify. From there:
You can adjust reports and filters as much as you want — the original remains untouched.
To turn your explored version into a new, permanent document, click + Dashboard in the top-right.
Creating a Dashboard
Open a default dashboard, such as Call History.
Click Explore to open a cloned version you can safely modify.
Adjust or add tabs/reports as needed.
Click + Dashboard (top-right) to save your new version.

Choose a location:
Business Dashboards → visible to Managers and Admins.
My Documents → private workspace.
⏰ Scheduling Report Deliveries
Click the ⋮ (three dots) next to a report.
Choose Schedule Delivery.
Set the delivery frequency and recipients.
