AI Dashboard: Build, Customize And Schedule A Board

Shanem Shanem

A board is a page of tiles you arrange yourself. Build one when the ready-made boards do not answer your question, then schedule it so it arrives in your inbox without opening the dashboard.

Which one should I use? Build a board when you want to pick your own tiles, filters and layout, schedule it monthly, or send it to a webhook. For a fixed-format recap with coaching sections like Wins and Calls to review, use the structured builder under Scheduled reports: AI Dashboard: Build A Custom Report With The Structured Report Builder.

For what is already on Snapshot and the ready-made boards, see AI Dashboard: Reports Overview (Snapshot And Boards).

Video Walkthrough

A 90 second tour of Reports. Building a tile in plain words, adjusting its settings and scheduling the board start at 0:50.

Before You Start

  • Open Reports, then Boards.
  • Each business can have up to 40 boards. The count shows next to Your boards. If Create board is unavailable, delete a board you no longer use.
  • Everyone with access to Reports in your business sees the boards you save.

Step 1: Create The Board

Click Create board, or open Blank board under the ready-made boards. Give it a name you will recognize in your inbox, for example "Weekly SDR connect rates".

Step 2: Add Tiles

Click Edit board. There are two ways to add a tile.

Describe it. Type what you want into the Describe a tile box and click Generate tile. For example: "calls over 2 minutes by rep and disposition, business hours only" or "answer rate by rep over time, PowerDialer calls only". The AI builds the tile, and you can adjust it afterwards.

Pick it from the catalog. Click + Add tile and click Add on any tile. The catalog includes key stats, call trend, leaderboard, sentiment, notable calls, objections and competitors, playbook insights, PowerDialer lists and queue, calls by rep and hour, call outcomes, volume bars, rate vs volume, pivot tables, lines by rep, team or source, SMS trend, call and SMS history tables, a custom stat and more. Tiles marked "managers only" are visible to admins and managers.

Step 3: Set What Each Tile Covers

Each tile opens its own Tile settings panel.

The Tile settings panel for a Call trend tile, with Title, Time window, Call sources, Direction, Dispositions, Hours, Attribution and Who it covers.

  • Title. Rename the tile, up to 120 characters.
  • Time window. Follow the page selector is the default, so the tile changes when you change the date range at the top of the board. Or pin the tile to its own window: Today, 7 days, 30 days, Last week or Last month.
  • Call sources. All sources, or pick up to 10, for example only PowerDialer calls.
  • Direction. Inbound and outbound, inbound only or outbound only.
  • Dispositions. Every disposition, or pick up to 10. "Not disposed" also matches calls with no disposition.
  • Hours. Limit the tile to part of the day, for example 9 AM to 5 PM. Hours are in your business timezone. 12 AM to 11 PM means no filter.
  • Attribution. Tick Only calls with an assigned rep to drop calls no rep made or took.
  • Who it covers. Leave it as Whole business, or click Edit to pick teams or reps.

Click Done to close the panel.

Pinned and unpinned tiles work well side by side. Put a connect rate pinned to 30 days next to one that follows the page, and you can compare any period against your baseline as you change the dates.

Step 4: Arrange The Layout

While editing, drag tiles to reorder them (or use the arrows on each tile), and click the size button on a tile to resize it. When it reads the way you want, click Save board. Cancel discards your changes.

Step 5: Schedule It

Open the board and click Schedule, then + Add schedule. Each schedule emails the board as it looks for the window you pick, with its own time, timezone and recipients.

The Schedule this board panel with Runs, Email, Window, Language, Send only when and Webhook settings.

  • Label. Optional, for example "Monday summary for VPs".
  • Runs. Daily, Weekly or Monthly, then the day, the time and the timezone.
  • Email. On by default. Enter recipients separated by commas.
  • Window. The period the email covers, for example Last 7 days.
  • Language. Same as the board, or pick one.
  • Send only when. Tick there were calls in the window to skip empty reports, and optionally add a number rule.
  • Webhook. Turn it on to post the report's data to another system, such as a BI tool or an internal app.

Click Save schedules. A board can have more than one schedule, for example a daily one for team leads and a weekly one for leadership.

Before you save, Preview email renders the email for the window the board shows now, without sending anything. Tiles that only work on the live board, such as quick prompts, recent runs and report cards, are left out of the email.

Step 6: Check Past Runs

The Schedule panel lists Recent runs. Open a run to see the exact email that went out and the data in it.

Editing Or Deleting A Board

  • Open, then Edit board, to change tiles, settings or layout.
  • Rename changes the name.
  • The trash icon deletes the board and frees a slot toward the 40-board limit.

Tips

  • One question per board. A board that answers "how is the SDR team connecting this week" gets read. A board with twenty tiles does not.
  • Match the schedule to the window: Last 7 days for a weekly, Last month for a monthly, so nothing is counted twice.
  • Put the tile you care about most at the top. That is what people see first in the email.
  • To look at one rep, set the rep under Who it covers on the tile.

Troubleshooting

Create board is unavailable. Your business has reached 40 boards. Delete one you no longer use.

A tile doesn't change when I change the dates. It is pinned to its own time window. Open Edit board, open the tile's settings and set the time window back to Follow the page selector.

A tile shows a different team than I set. While the board's Team dropdown is set to a team, it overrides the tile's Who it covers for that view. Set the dropdown to All teams to see the tile's own scope.

The scheduled email didn't arrive. Check that Email is on and the recipients are right, check your spam folder, then look at Recent runs to confirm it ran. If Send only when is ticked and there were no calls in the window, nothing is sent.
