The structured builder is the fastest way to generate a report in the AI Dashboard. You pick a time window, who it covers, and which sections you want, and it runs in about a second with no AI wait. It is the right tool for the report you run every week: volume, connects, per-rep numbers, the leaderboard, plus the coaching sections that come from your analyzed calls.
If you would rather describe the report in your own words and let the AI compose it, use Describe what you want instead. This article covers the structured builder only.
Before You Start
Sign in at ai.kixie.com with your Kixie account.
Open Reports in the left sidebar. Managers and admins can build reports across the whole team. Reps see their own calls.
One thing to know before you pick sections: the report draws on two kinds of data. Counts, connects, connect rate, and talk time come from every call your business made in the window. Sentiment, objections, competitors, wins, and calls to review come only from analyzed calls, which are calls that were recorded and transcribed. The report tells you the split at the top; for example, "85 of 1,317 calls in this window have been analyzed; sentiment and topic sections cover the analyzed portion." If that number is small, the coaching sections are directional, and the count sections are complete.
Step 1: Open The Builder
On the Reports screen, under Or build it yourself, click Structured builder. The form opens on the same screen. The heading reads "New report: structured builder."
Step 2: Name It
Report name. Type the name you will look for in the Saved reports list and in your inbox subject line. Name it for what it answers, not when it runs: "Weekly SDR recap" rather than "Report 3."
Step 3: Pick The Time Window
Five choices. Today, Yesterday, Last 7 days, Last 30 days, and Custom.
Custom is a rolling window, not a date range. It shows one field, "Last [N] days (ending yesterday)," pre-filled with 14. Enter the number of days you want. Because it ends yesterday, a Custom report never includes a partial day, which is what you want for a scheduled report.
The window is applied in your business timezone. The finished report prints it in full, for example "2026-09-11 to 2026-09-17 (US/Pacific)."
Step 4: Choose Who It Covers
Two search boxes side by side: Search teams and Search reps. Tick as many of either as you want. The count of selected items shows beside each box.
Leave both empty to cover the whole business. That is the default and the right choice for a company-wide weekly.
Pick one team for a team lead's report. Pick individual reps when you want a report about specific people, for example the three you are coaching this month. Team and rep selections combine, so a team plus one extra rep is allowed.
Step 5: Pick Your Sections
Sections render in the order you pick them, so click them in the order you want to read them. Three are on by default: At a glance, Sentiment and Objections. Click a selected section to remove it. Hovering a section shows a one-line description of what it contains; those descriptions are reproduced in the table below, with what the section looked like in the live test.

A few combinations that work well:
- Weekly numbers for leadership. At a glance, Daily trend, Leaderboard. No analyzed-call sections, so the report is complete regardless of how many calls were recorded.
- Coaching pack for a team lead. At a glance, Sentiment, Objections, Calls to review, Wins. Pick the team under Who it covers.
- Deal desk view. At a glance: Objections, Competitors, Deals in play. Needs the CRM connected.
Step 6: Set Delivery
Email the report. Off by default. Switch it on, and a recipients field appears: "a@company.com, b@company.com." Enter addresses separated by commas. Recipients do not need an AI Dashboard login to receive the email.
Schedule. Run manually, Daily or Weekly.
- Run manually means the report only runs when you click Run now.
- Daily adds a send-hour picker.
- Weekly adds a day-of-week picker (Monday by default) and a send hour (8:00 AM by default).
Under the schedule, a note reads: "Times use the report's timezone (your business timezone). Scheduled runs email the recipients above when email is on." So a schedule with email off still runs and stores the result under Saved reports; it just does not send anything.
Step 7: Save
Three buttons. Cancel discards the form. Save and run now saves the report and runs it immediately, opening the result. Save report saves without running, which is what you want for a scheduled report you do not need to see today.
Reading The Result
A finished run opens on its own screen with a status strip and the report underneath.
The strip shows: Status (completed), Started and Finished timestamps, Window (the exact start and end), Calls in window, Calls analyzed, Emails sent (for example "0 of 0" when email is off), and Triggered by (manual or scheduled). Calls analyzed against Calls in window is the first number to check; it tells you how much of the report rests on transcripts.
The report itself is laid out like an email, with the Kixie mark, the report name, the window and timezone, then your sections in the order you picked them. Every objection quote, every win, and every call to review carries a View call link that opens the call page, where you can play the recording at the moment in question and read the scorecard.
At the bottom of an emailed report there is an unsubscribe line. Recipients who use it stop receiving that report.
Running, Editing And Deleting
Back on the Reports screen, Saved reports lists every report with its type ("Builder"), window, coverage (for example "1 team"), schedule state, and last run time. Run now runs it against the current window. Edit opens the same form with your choices filled in; change the sections, the recipients or the schedule and save again. The trash icon deletes the report and asks you to confirm.
Tips
- Pick the sections you will read, not every section. A report with eleven sections is long, and a short one gets read.
- For a scheduled report, use a window that matches the schedule: Last 7 days for a weekly, or Custom 1 day for a daily, so the window and the send cadence line up and nothing is counted twice.
- Put the section you care about most first. Sections render in the order you pick them, and the email preview shows the first one.
- If Sentiment or Objections look thin, check Calls analyzed in the status strip. Only recorded calls are transcribed, and only transcribed calls feed those sections.
Troubleshooting
The report ran, but the coaching sections are empty or tiny. Few calls in the window were recorded and analyzed. The count sections are still complete. Check that recording is on for the reps in scope.
A rep is missing from By rep or Leaderboard. They made no calls in the window, or they are not in the team you selected.
Competitors or Zoom meetings say "none detected." No competitor names came up on analyzed calls, or Zoom is not connected under Integrations.
Deals in play is empty. No CRM is connected, or the contacts called in this window have no matching deals. Connect the CRM under Integrations and confirm it shows as analyzing under Settings, Connected Apps.
The email arrived at an odd hour. Send hours use the business timezone shown on the report. Check it under Settings, Automated Reports before changing the hour.
The numbers do not match another Kixie screen. In these reports, connected means the call lasted over 60 seconds. Other screens may count any answered call as connected. Compare definitions before comparing numbers.
