Get the report you run every week in about a second. The structured builder lets you pick a time window, who it covers and which sections you want: volume, connects, per-rep numbers and the leaderboard, plus coaching sections from your analyzed calls. Then have it emailed daily or weekly.
Where to find it: in the Kixie AI Dashboard, open Reports, then under Or build it yourself, click Structured builder. Managers and admins can build reports across the whole team. Reps see their own calls.
Which one should I use? The structured builder makes a fixed-format recap with coaching sections like Wins and Calls to review. To pick your own reports, filters and layout, get a monthly email or send data to a webhook, build a dashboard instead. To describe a report in your own words and have the AI write it, use Describe what you want on the same screen.

1. Know which numbers come from which calls
The report draws on two kinds of data:
- Every call in the window: counts, connects, connect rate and talk time.
- Analyzed calls only: sentiment, objections, competitors, wins and calls to review. Analyzed calls are calls that were recorded and transcribed.
Good to know: the report says at the top how many calls in the window were analyzed. If only a small share were, treat the coaching sections as a rough guide. The count sections always cover every call.
2. Open the builder and name your report
- On the Reports screen, under Or build it yourself, click Structured builder. A form opens, headed "New report: structured builder."
- In Report name, type the name you'll look for in Saved reports and in your inbox. Name it for what it answers, not when it runs: "Weekly SDR recap" rather than "Report 3."
3. Pick the time window
Choose Today, Yesterday, Last 7 days, Last 30 days or Custom.
Good to know: Custom means "the last N days, ending yesterday," and starts at 14 days. Because it ends yesterday, it never includes a half-finished day, which is what you want for a scheduled report. All windows use your business time zone, and the finished report shows the exact dates.
4. Choose who it covers
- Use Search teams and Search reps to tick as many teams or reps as you want. The number selected shows beside each box.
- Leave both empty to cover the whole business, the right choice for a company-wide weekly.
Pick one team for a team lead's report, or individual reps for a report about specific people, such as the three you're coaching this month. You can combine teams and reps.
5. Pick the sections you will read
Sections appear in the report in the order you click them, so click them in the order you want to read them. At a glance, Sentiment and Objections are selected to start with. Click a selected section to remove it, or hover over one to see what it contains.

Combinations that work well:
- Weekly numbers for leadership. At a glance, Daily trend, Leaderboard. These use every call, so the report is complete however many calls were recorded.
- Coaching pack for a team lead. At a glance, Sentiment, Objections, Calls to review, Wins, with the team picked under Who it covers.
- Deal desk view. At a glance, Objections, Competitors, Deals in play. Needs the CRM connected.
6. Get it emailed on a schedule
- Switch on Email the report and enter recipients, separated by commas. Recipients don't need an AI Dashboard login.
- Under Schedule, choose Run manually, Daily (then pick a send time) or Weekly (then pick a day and send time; the default is Monday at 8:00 AM).
Good to know: send times use your business time zone. If a report is on a schedule but email is off, it still runs on time and saves the result under Saved reports. It just doesn't send anything.
7. Save it
- Save and run now saves the report and opens the result.
- Save report saves without running it, which is what you want for a scheduled report.
- Cancel throws the form away.
8. Read the result
A finished report opens with a summary strip above it.
- First, compare Calls analyzed with Calls in window. That tells you how much of the coaching content is based on transcripts.
- Read the sections in the order you picked them.
- Click View call on any objection quote, win or call to review to open that call, play the moment and see its scorecard.
The strip also shows the status, start and finish times, the exact window, how many emails were sent and whether the report ran on a schedule or by hand. Emailed reports include an unsubscribe link, and anyone who uses it stops receiving that report.
9. Run, edit or delete a saved report
On the Reports screen, Saved reports lists every report with its type, window, who it covers, schedule and last run.
- Run now runs it for the current window.
- Edit opens the form with your choices filled in.
- The trash icon deletes it after you confirm.
10. Quick tips
- Pick only the sections you'll read. A short report gets read.
- Match the window to the schedule: Last 7 days for a weekly email, or Yesterday for a daily one, so nothing is counted twice.
- Put the section you care about most first. It's what people see first in the email.
- If Sentiment or Objections look thin, check Calls analyzed. Only recorded calls are transcribed.
11. Troubleshooting
The coaching sections are empty or very short. Few calls in the window were recorded and analyzed. The count sections still cover every call. Check that call recording is on for the reps in the report.
A rep is missing from By rep or Leaderboard. They made no calls in the window, or they aren't on the team you selected.
Competitors or Zoom meetings says nothing was found. No competitors were mentioned on analyzed calls, or Zoom isn't connected under Integrations.
Deals in play is empty. No CRM is connected, or the contacts called in the window have no matching deals. Connect the CRM under Integrations and check it says Analyzing under Settings > Connected Apps.
The email arrived at an odd hour. Send times use the business time zone shown on the report. You can check it under Settings > Automated Reports.
The numbers don't match another Kixie screen. In these reports, connected means the call lasted more than 60 seconds. Other screens may count any answered call as connected.
