Registering your Business Identity and Voice Identity protects your phone numbers and keeps your caller ID clean. Without these registrations, carriers can't confirm you are a legitimate business, and your calls are more likely to get a Spam Likely label, which drags down your answer rates.
This is a two-part process. You complete Business Identity first, wait for approval, then finish Voice Identity. Plan for about 15 minutes of work total, split across two sittings.
Before you start
Have these ready so you are not hunting for them mid-form:
- Your registered business address
- Your legal business name, exactly as it appears in public records for your Tax ID
- Your brand alias or DBA, if you operate under a different customer-facing name
- Your Tax ID / EIN (US EIN is 9 digits; dash optional)
- Your entity type and industry
- Your company website URL, which is required
- Contact details for an authorized representative: first and last name, job title, seniority, email, and phone number
- A rough daily outbound call volume and employee count, both of which you can estimate from your call history
What's on the Compliance page
The Compliance page holds five separate registrations. This article covers the first two. The others are linked at the bottom.
| Registration | Status | What it does |
|---|---|---|
| Business Identity | Required | Verifies your company. Every other registration references this profile. |
| Voice Identity | Recommended | Protects your outbound calls from spam labeling. Covered here. |
| 10DLC SMS | Required to text | Registers a Brand and Campaign so you can send business SMS. |
| International Numbers | Optional | Needed to buy phone numbers outside the US. |
| Toll-Free Verification | Required for toll-free SMS | Registers each toll-free number so US carriers deliver its SMS. |
Business Identity has to be approved before the other four unlock. Until then, they show "Unlocks at Business Identity approval," though you can pre-stage some of their fields.
Submit Business Identity first regardless of which ones you eventually need.
How the two registrations work together
Business Identity verifies your company directly with the major telecom networks. Your legal business name, address, tax ID, and website are confirmed. This establishes that you are a legitimate business and creates a trusted profile. Business Identity does not directly change how your calls are displayed, but it is the required foundation for everything else. Approval typically takes about 24 hours, and you only submit it once.
Voice Identity is where your phone numbers are associated with your verified business and registered with the carrier analytics providers, the companies that actually determine whether your calls get flagged as spam.
Voice Identity is made up of two pieces, and only one of them needs anything from you:
- STIR/SHAKEN submits automatically the moment your Business Identity is approved. No form and no action are required on your part. It handles call attestation, which prevents your calls from being labeled Scam Likely on carrier networks. Approval takes roughly 72 hours.
- Voice Integrity is the part you fill in. It uses four fields covering your use case and call volume, and it drives spam scoring on outbound calls. Approval takes roughly 24 to 48 hours after submission.
When your numbers are registered, carriers know exactly who is dialing. This improves your numbers' reputation over time and reduces the likelihood that your calls are labeled Spam Likely, Scam Likely, or Risk. No registration can guarantee zero spam flags, but this is one of the most effective proactive steps you can take to improve answer rates and build trust with your prospects.
In short: Business Identity verifies your business, and Voice Identity verifies that your phone numbers belong to that business.
Part 1: Business Identity
1) Log in at app.kixie.com.
2) In the left navigation, go to Manage > Compliance. The Business Identity form opens by default.
3) Under Business address, enter your street, city, state, ZIP, and country. Apt / Suite is optional.
4) Under Legal business information, complete these fields:
- Legal company name. Must match public records for your Tax ID. A mismatch here is the most common reason a submission gets delayed
- Brand alias (DBA / customer-facing name). This is the Doing Business As name shown to recipients. Fill it in if it differs from your legal name
- Tax ID type and Tax ID number. For a US EIN, enter 9 digits; the dash is optional
- Entity type. Choose from Private (LLC, Corp), Public (publicly traded corp), Non-profit, Government, Partnership, or Sole proprietor
- Industry
- Website URL. This is required. It is used to verify your business
- Social media URLs. Optional and comma-separated, but filling it in improves A2P throughput
5) Under Authorized representative, enter the first name, last name, seniority, email, phone in E.164 format, contact country, and job title for someone at your company who our registration partner can contact directly to verify that the submission is accurate. Job title is required.
6) Click Submit Business Identity.
If you need to stop partway, Save Draft keeps your entries without submitting.
Wait for approval
Business Identity approval typically takes about 24 hours. You do not need to do anything while you wait.
Once it is approved, two things happen:
- STIR/SHAKEN submits automatically on your behalf
- Voice Identity, 10DLC SMS, International Numbers, and Toll-Free Verification unlock
Check your status by returning to Manage > Compliance. The Business Identity card shows Approved when it is done.
You will not receive an email either way. Status updates only on this page, so check back the next day rather than waiting for a notification. If the card shows a rejected state, correct the flagged information and resubmit. The most common cause is a legal company name that does not match public records for your Tax ID.
To get a head start, you can open the Voice Identity section before approval and pre-stage the four fields in Part 2. The buttons that actually submit them only appear once Business Identity is approved.
Part 2: Voice Identity
Return to Manage > Compliance once Business Identity shows Approved.
7) Select the Voice Identity card.
STIR/SHAKEN already shows its own status because it is submitted automatically. The four fields on this screen are for Voice Integrity.
8) Select your primary voice use case from the dropdown.
The list holds 45 options covering every industry the carrier networks recognize, so most of it will not apply to you. Only a handful are relevant to a typical Kixie team, and there is a guide to choosing between them at the bottom of this article.
Pick the option that describes what your team actually does on the phone, not what sounds best. Carriers score your real calling behavior against the profile you declare, so a mismatch hurts your numbers.
| If your team... | Choose |
|---|---|
| Dials through lists at volume using PowerDialer | Outbound Dialer |
| Calls net-new prospects who have not engaged with you yet | Lead Generation |
| Calls leads already in your pipeline | Lead Management |
| Follows up with the same leads over time | Lead Nurturing |
| Mostly click-to-dials from your CRM rather than running lists | Click to Call |
| Is mostly inbound, resolving customer issues | Customer Support |
| Uses Kixie as general business telephony, mixed inbound and outbound | Phone System |
If more than one row fits, pick the one that covers the largest share of your call volume, then use the notes field to describe the rest.
Why this matters more than it looks like it should. Carriers and their analytics providers score the calling behavior they observe against the profile you declared. A team that registers as Phone System and then places hundreds of outbound prospecting calls a day looks inconsistent, and inconsistency is what damages number reputation. An accurate answer protects you better than a flattering one.
9) Enter your number of employees and daily call volume. You can find your daily call volume in your call history if you are not sure of the exact number.
10) Use the notes field to add any extra context about your voice use case. Include anything relevant about how your team is making calls that supports the primary use case you selected above. The field shows an example of the level of detail expected: "Outbound sales calls to leads who completed a contact form on our website."
11) Click Submit Voice Products to send the registration.
Save Voice Info saves your entries without submitting if you want to come back to it.
12) Check your status. The STIR/SHAKEN and Voice Integrity cards at the bottom of the section show where each one stands. Use Refresh Status to pull the latest.
Voice Integrity approval typically takes 24 to 48 hours. STIR/SHAKEN takes about 72 hours after your Business Identity is approved.
You're all set. Getting both registrations completed helps protect your numbers, reduce spam filtering, and get your reps into more live conversations. Reach out to your Customer Success Manager or support@kixie.com with any questions.
If you previously registered numbers manually, Voice Identity replaces that process. You no longer need to register separately.
