Prioritized PowerLists: Speed to Lead with Continuous Follow-up

Kixie's Prioritized PowerLists feature allows users to categorize their call lists into different priority levels. With this feature, your reps will automatically dial all eligible phone numbers within the highest-priority PowerList(s) assigned to them before dialing contacts in lower-priority Lists.

Here is how you can utilize Priority and Next PowerList actions to create a speed-to-lead plus continuous followup waterfall for your reps. Once created, you can instantly feed your hottest new leads into the top of the waterfall; and all your agents need to do each day is log in and click Start Dialing.

  • Pro Tip #1: To create a "waterfall" from Higher to Lower priority lists, you will utilize the Next PowerList option within each PowerList, to automatically forward your Contacts to the next-lowest-priority list after a certain number of dial attempts in each Powerlist.
    • Creating your Highest Priority List first and then cloning it makes this setup painless. Just change the Priority and Next PowerList action on the cloned list, and so on, and you're good to go.
  • Pro Tip #2: Once you've set up your PowerLists to forward from higher-priority PowerLists to lower-priority PowerLists and want to ensure that your agents can never de-select any of these PowerLists, you can turn "Prevent Deselection" ON in each of these PowerLists.
  • Pro Tip #3: If you've set up your PowerLists to forward from higher-priority PowerLists to lower-priority PowerLists, consider setting your maximum number of dial attempts to 1 for at least the Highest Priority List, so your reps don't end up calling a lead for the second time before calling a fresher lead for the 1st time.
  • Pro Tip #4: Standby Mode ensures that if and when your reps have no more numbers eligible to dial based on your PowerList rules, whenever you add a hot lead to your PowerList via workflow from your CRM or API action, your reps on stand by mode will automatically dial it right away to achieve speed to lead.
  • Pro Tip #5: If Owned - Only Dial from Owner if you only want your reps to dial contacts that they themselves own in the CRM and prevent other PowerList members from dialing those owned contacts, just toggle If Owned - Only Dial from Owner ON inside CRM Ownership Rules.
    • this is much easier than having to create a new PowerList waterfall for every single rep just to keep their leads separated!

Configuration

Setting Priority Levels

  • Access PowerList Setup: Navigate to the PowerList setup section in your Kixie dashboard.
  • Assign Priorities: In the PowerList setup under Settings, you will find a dropdown field labeled "Priority". Here, you can select from five priority levels: Highest, High, Medium, Low, and Lowest.
  • Default Setting: New PowerLists will automatically be set to 'Medium' priority. This also applies to all existing PowerLists at the time of feature implementation.

Sorting by Priority in PowerDialer

  • Access PC Sessions Tab: In the PowerDialer, go to the PC Sessions tab.
  • Sort PowerLists: You can sort the PowerLists by priority, allowing you to view your assigned PowerLists by order of importance.

Use Cases

  1. "Speed-to-Lead" vs "Continuous Follow-up":

    • Scenario: You have a PowerList reserved only for new leads that you want to contact immediately.
      • Application: Set these new lead PowerLists to the 'Highest' priority. This ensures that agents will call these numbers first, maximizing the chances of converting these hot leads.
    • Scenario: Alongside new leads, you have older, colder leads that still need follow-up.
      • Application: Assign these PowerLists a 'Low' or 'Lowest' priority. Once agents have exhausted higher priority lists, they can then focus on these secondary leads, ensuring a comprehensive outreach strategy.
  2. Dialing a Cold PowerList -> a Cold Lead Becomes Hot
    • Scenario: Your agents are dialing a cold lead PowerList, and one of those cold leads becomes hot, so you want your agents to dial that lead right away.
      • Application: Send these leads into a 'Highest' Priority PowerList as soon as they become hot. Your agents will then automatically call these leads next before moving back to the 'Medium' Priority lead list.
        • Pro Tip: If you're email-campaigning these same cold leads in HubSpot, use the contact-based HubSpot workflow trigger "When an Event Occurs" and specify "Clicked link in email", and set the "Add Contact to PowerList" Kixie action to send their number to your 'Highest' priority PowerList for your agents to immediately dial.
