Kixie AI Dashboard | How To Build Reports And Dashboards

Shanem Shanem

Build the reports your team runs, put them together on your own dashboard, and have the dashboard emailed on a schedule. Describe a report in plain words and it is built for you.

What you get

  • Reports. A report is one measure of your business, such as answer rate by rep, a leaderboard or a call trend. On a dashboard, each report appears as a tile.
  • Dashboards. A dashboard is a collection of reports on one page. In Reports, dashboards are called boards. Build one around the way your team works, such as "Weekly SDR connect rates."
  • Reports you describe in plain words. Type what you want to see, such as "answer rate by rep, PowerDialer calls only," and the report is built for you. Or pick one from a catalog of ready reports: key stats, call trends, leaderboards, sentiment, objections and competitors, PowerDialer lists and queue, pivot tables, call and SMS history, and more.
  • Control over what each report counts. Narrow any report by call source, direction, disposition, business hours, reps or teams, and pin it to its own date range so it sits next to reports that follow the date picker.
  • A layout that reads your way. Drag reports into order and resize them.
  • Delivery on your schedule. Email a dashboard daily, weekly or monthly, with its own time, timezone, recipients and date window. Or post its data to another system by webhook. A dashboard can have several schedules.

Dashboards are shared: everyone with access to Reports in your business sees the dashboards you save. Each business can have up to 40.

Which one should I use? Build a dashboard when you want your own reports, filters and layout, a monthly schedule, or a webhook. For a fixed-format recap with coaching sections like Wins and Calls to review, use the structured builder under Scheduled reports: Kixie AI Dashboard | How To Build A Custom Report With The Structured Report Builder.

How to get a report in the chat

  1. Click in the chat box at the bottom of any screen in the Kixie AI Dashboard.
  2. Describe the report you want, the way you would ask an analyst. Name the time window and the people, for example "connect rate by rep for last week, outbound only."
  3. Press Enter. The report comes back as text, a table, a chart or a CSV download, depending on what you asked for.

To keep a report on a dashboard, build it on the board as described in How to build a report by describing it.

How to create a dashboard

  1. In Reports, click Boards.
  2. Click Create board, or open Blank board under the ready-made boards.
  3. Name it for what it shows, for example "Weekly SDR connect rates."

How to build a report by describing it

  1. On your dashboard, click Edit board.
  2. In Describe a tile, type the report you want. For example: "answer rate by rep over time, PowerDialer calls only."
  3. Click Generate tile. The report is built and added to your dashboard, and you can adjust it in the next steps.

How to change what a report covers

  1. In edit mode, open the report's Tile settings.
  2. Set any of these:
    • Call sources: all sources, or up to 10, such as PowerDialer calls only.
    • Direction: inbound and outbound, inbound only or outbound only.
    • Dispositions: every disposition, or up to 10.
    • Hours: for example 9 AM to 5 PM, in your business timezone.
    • Attribution: tick Only calls with an assigned rep.
    • Who it covers: click Edit to pick teams or reps. Leave it as Whole business for everyone.
  3. Click Done.

How to pin a report to its own date range

  1. Open the report's Tile settings.
  2. Change Time window from Follow the page selector to Today, 7 days, 30 days, Last week or Last month.
  3. Click Done. The report now shows its own window and ignores the date picker.

Tip: pin one connect rate report to 30 days and leave another following the page. Change the dates and you are comparing against your baseline.

How to arrange and resize reports

  1. In edit mode, drag a report to move it, or use the arrows on the report.
  2. Click the size button on a report to make it smaller or larger.
  3. Click Save board. Cancel discards your changes.

How to schedule a dashboard by email

  2. Click + Add schedule.
  3. Under Runs, pick Daily, Weekly or Monthly, then the day, time and timezone.
  4. Make sure Email is on and enter recipients, separated by commas.
  5. Set the Window the email covers, for example Last 7 days.
  6. Optional: tick Send only when there were calls in the window to skip empty emails.
  7. Click Save schedules.

A dashboard can have more than one schedule, for example a daily one for team leads and a weekly one for leadership.

How to send a dashboard to another system by webhook

  1. In the dashboard's schedule, turn Webhook on.
  2. Enter the webhook URL of the receiving system.
  3. Click Save schedules. Each run posts the dashboard's data to that URL.

How to preview the email and check past runs

  1. Open the dashboard and click Schedule.
  2. Click Preview email to see the email for the window the dashboard shows now. Nothing is sent.
  3. Under Recent runs, open a run to see the exact email that went out.

Reports that only work on the live dashboard, such as quick prompts, recent runs and report cards, are left out of the email.

How to rename or delete a dashboard

  1. In Reports, click Boards and find the dashboard under Your boards.
  2. Click Rename to change the name, or the trash icon to delete it.

Troubleshooting

Create board is unavailable. Your business has reached 40 dashboards. Delete one you no longer use.

A report doesn't change when I change the dates. It is pinned to its own time window. Open its Tile settings and set Time window back to Follow the page selector.

A report shows a different team than I set. When the dashboard's team dropdown is set to a team, it overrides the report's Who it covers for that view. Set the dropdown to All teams.

The scheduled email didn't arrive. Check that Email is on and the recipients are right, check spam, then open Recent runs to confirm it ran. If Send only when is ticked and there were no calls, nothing is sent.
